About the Role:
We seek an Executive Assistant who will ultimately take ownership of the CEO’s inbox, calendar, and daily operations. This person will proactively manage communication, time, and tasks to allow the CEO to focus entirely on driving the business forward. Our ideal candidate is organized, highly trustworthy, and can easily represent the CEO’s tone and preferences. If you are someone who naturally anticipates needs, handles every detail, and takes pride in being one step ahead, this role may be for you.
Responsibilities:
Inbox and Communication Management:
Fully own the CEO’s inbox, anticipating responses, organizing messages, and handling communication on their behalf. Develop a deep understanding of the CEO’s tone, style, and response preferences, allowing for seamless communication management.
Calendar Management:
Manage and organize an airtight calendar, scheduling and rescheduling as needed. Know the CEO’s calendar better than they do, ensuring all meetings and priorities are efficiently arranged.
Time Protection:
Aggressively protect the CEO’s time, ensuring only essential matters reach their attention. Pull the CEO into two weekly check-in meetings to address any outstanding items, keeping everything on track.
Personalized Support:
Handle sensitive financial tasks like accessing bank accounts and sending documents to accountants. Book flights, manage insurance inquiries, liaise with vendors, and handle all logistical tasks with discretion and reliability.
Task Coordination and Organization:
Organize tasks into actionable buckets, ensuring nothing is missed. Maintain a system to track and organize all responsibilities, giving the CEO peace of mind that everything is handled.
Gift and Event Planning:
Remember birthdays, anticipate gift-giving, and manage personal touchpoints.
Business SOP Creation: Develop Standard Operating Procedures (SOPs) for various business functions and regularly update them for new software, processes, and workflows.
Social Media and Content Management:
Post weekly content on social media, research the best tools for content management, and handle light design tasks to ensure materials look professional.
Sales and Client Screening:
Understand our business, clients, and values. Conduct light sales conversations via email, steering prospective clients toward booking calls and screening out individuals who may not be a fit.
System Management:
Build, implement, and manage simple systems to ensure all tasks are tracked and none are missed. Provide feedback on workflows, identify areas for improvement, and refine systems as needed.
Proactive Problem Solving:
Proactively find answers to questions, such as handling insurance questions, researching new vendors, or troubleshooting issues. Be willing to “figure it out” without needing constant direction.
Tech and Tool Adaptability:
Use ChatGPT and other tools to draft responses, create content, and enhance productivity. Stay comfortable learning new software to support various tasks.
