Job Title: Part-Time Publishing Assistant/Virtual Assistant to the CEO

Job Summary
A book publishing and marketing company is seeking a proactive and very organized Part-Time Publishing Assistant/Virtual Assistant to support our CEO. We’re seeking a driven assistant who is interested in learning and growing with us long term. If you’re organized, ambitious and have a great personlaity, we would love to have you on our team of other amazing rockstars! We are looking for someone who can start in the month of February ideally.

In this role, you will provide administrative support and assist with various publishing-related tasks such as scheduling, calendar, social media posts, SOP and document creation, manage email correspondence and phone calls, ensuring timely and professional responses, preparing and organize documents in Google Drive, travel booking and research to help streamline daily operations. This is a remote, part-time position ideal for someone who thrives in a dynamic environment and is passionate about the book publishing industry.

Key Responsibilities

Administrative Support:

Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
Handle email correspondence and phone calls, ensuring timely and professional responses.
Prepare and organize documents, reports, and presentations as needed.
Publishing Assistance:

Assist with proofreading manuscripts and other publishing materials.
Coordinate with authors, editors, and other team members to ensure smooth workflow and timely publication.
Research industry trends, potential authors, and new publishing opportunities.

Project Coordination:

Track project deadlines and maintain organized records of publishing projects.
Help plan and coordinate virtual events, webinars, or promotional activities.

General Virtual Assistance:

Provide support for special projects as assigned by the CEO.
Utilize various digital tools and platforms to improve workflow and communication.

Qualifications

QualificationsPrevious administrative or virtual assistant experience required. Familiarity with publishing processes, editing, or content management is a plus but not required.Skills:Excellent written and verbal communication skills are a MUST. Strong organizational and multitasking abilities are a MUST. Proficiency in standard office software (e.g., Microsoft Office, Google Workspace) and comfort with digital collaboration tools.Personal Attributes:Friendly and a team player Self-motivated and detail-oriented. Ability to work independently and manage time effectively in a remote setting. A passion for the publishing industry and a willingness to learn and adapt.Work Environment This is a remote, part-time role with flexible hours, primarily supporting the CEO and coordinating with the internal team as needed. Twice a week team meetings will require Zoom, which will be provided.
