Overview

The Administrative Coordinator serves as the air traffic controller for the Founder (a CPA), ensuring smooth and efficient management of priorities, communications, and projects. This role oversees the founder’s inbox, calendar, and phone calls, directing tasks and delegating responsibilities with clarity and precision. Additionally, the coordinator supports the Business Operations Manager with administrative support around operations, client experience, and HR projects to keep everything on course. With a clear and kind approach, this position ensures seamless coordination and proactive problem-solving in a fast-paced environment.

Performance Objectives:
Support the Founder (CPA):

  • Inbox Management: Monitor, organize, and respond to emails on behalf of the founder; delegate tasks as needed with a clear and kind approach.
  • Calendar Coordination: Schedule and manage appointments, meetings, and events for the founder.
  • Phone Call Handling: Screen, prioritize, and respond to calls, ensuring timely and professional communication.
  • Task Delegation: Assign and track tasks based on email and phone communications with clarity and follow-up.

Assist the Business Operations Manager:

  • Operations Support: Assist with administrative tasks to streamline internal workflows and processes. May include research.
  • Client Experience: Provide support around client communication as well as sending and following up on new client proposals.
  • HR Assistance: Support HR-related activities, as needed.
  • Project Management: Coordinate and execute tasks for discreet projects, ensuring deadlines are met and challenges are resolved efficiently.
