Client Relations Specialist for Mental Health Counseling Practice

Overview

You will serve as a liaison to those who are interested in counseling services and the team of therapists. You will have the flexibility to work virtually while only coming into the office a few times a month.

We are a group therapy practice that specializes in child and family therapy services. We work with people of all ages struggling with a variety of emotional issues. We also provide therapy services, for trauma, relationship issues, anxiety, depression, behavioral problems, neurodivergent children and adults, couples and parenting.

Client Relations Specialist Job Responsibilities:

Provide information to clients interested in therapy services
Communicate and work closely with practice owner over various office components
Answer the phone and direct calls appropriately
Create client files and collect client information
Schedule and assign potential clients to therapists
Manage multiple operating systems
Maintain spreadsheets, tracking referrals and practice caseloads
Communicate with clients about payments, billing, and various questions
Maintain HIPPA compliance
Support clients and therapists in various tasks
Assist in maintenance of website functionality
Assist in maintenance of phone system
Ability to write blogs and service pages for the website
Ability to maintain website SEO and Google Ads

Qualifications

Communication: Strong written and verbal communication skills to interact with children, families, and clinical staff. Empathy and a calming tone are essential when speaking with families seeking therapy.Organizational Skills: The ability to manage scheduling, documentation, and various client-related tasks in an efficient and timely manner.Multitasking: Intake coordinators are often responsible for managing multiple tasks at once, such as answering phone calls, scheduling appointments, following up with potential clients, supporting therapist admin needs and processing paperwork.Attention to Detail: Accuracy in entering patient information, coordinating schedules and understanding clinical needs is crucial.Confidentiality: Understanding HIPAA (Health Insurance Portability and Accountability Act) and confidentiality regulations is important when dealing with sensitive client information.Proficiency with Electronic Health Records (EHR): Experience using EHR systems like Simple Practice, Therapy Notes or other specialized mental health systems is often required.Basic Office Software: Knowledge of office software like Microsoft Office 365, Airtable, TelcoScheduling Software: Familiarity with appointment scheduling tools, as well as systems for verifying insurance and processing payments.Empathy & Compassion: An understanding and compassionate demeanor when interacting with families, particularly those seeking mental health services for children, which can be a sensitive process.Problem-Solving Abilities: Intake coordinators often need to navigate challenges, such as insurance issues or scheduling conflicts, and should be resourceful in finding solutions.Patience & Emotional Resilience: Working in a mental health environment, especially one focused on children, can be emotionally demanding. The ability to remain calm, composed, and understanding in challenging situations is important.
