Overview

Title: Sr. EA & Administrative Manager

Hours: 10+ hours per week, will vary on needs (opportunity to grow hours over time)

Summary

Seeking an energetic team member to support operations at a busy Executive Assistant support company. We are a small, fully remote business operating in multiple states in the US. The Administrative Manager supervises a team of approximately 5 Executive Assistants and maintains compliance in the various states where we are registered. The Administrative Manager is, furthermore, a strategic partner in the organization, collaborating with the Founder/Owner to drive growth. An ideal candidate will have impeccable written and verbal communication skills, out-of-the-box problem-solving skills, an aptitude for learning new things, and the ability to maintain processes.

Essential Functions and Responsibilities:

-Personnel Management

-Direct manager for Crew members; first line of communication; communicate company policies and initiatives
Mentorship
-Review and approve timecards bi-weekly; calculate holiday time; approve time off requests
-Have quarterly check-ins with Crew Members, conduct annual performance reviews, and initiate Crew member KPIs in January
-Track employee expenses and incentive payments
-Human Resources

Employee gifts
-Candidate Interviews and coordination of documents, references, and background checks.
-New hire onboarding and training
-Maintaining personnel records
-Employee Offboarding
-Administration, Operations, & Compliance

-Maintain records of state registrations where we are required to file taxes
-Maintain certifications such as the WBENC
-Develop and maintain streamlined processes for business operations
-Coordinate holiday cards or acknowledgements
-Support the Founder/Owner with administrative tasks as needed for smooth operations
-Track key projects, dates, deadlines, and own project management oversight
-Strategic Partnership

-Meet with the Founder/Owner regularly to discuss leads, the state of the business, new service offerings, and growth opportunities
-Meet with the Founder/Owner regularly to discuss staff performance

Required Skills and Experience

-7+ years in direct C-Suite Executive or Founder/Owner support
-Previous experience in management or as a team lead
-Impeccable written and verbal communication
-A high level of professionalism
-Facility learning new software and applications
-General awareness of small business operations, systems, and processes; experience working for a small business
-Understanding of the fundamentals of marketing and branding
-Exceptional attention to detail

Work Location and Schedule

The Executive Assistant will set their schedule. However, the role requires support from someone who can respond to messages during regular business hours, Monday through Friday, Eastern Standard Time.
