Paralegal/Operations Support – Real Estate & Legal (PT, Remote + LA)

Overview

We are seeking a Paralegal / Operations Coordinator who is highly organized, legally literate, and thrives on creating streamlined systems. You will be responsible for designing and maintaining workflows that track and route mail (digital and physical), legal notices, and tax documents across our portfolio of entities. This role will be a key liaison between our CEO, controller, accountants, and external partners.

This is a part-time, primarily remote position with flexible hours. Candidates based in Los Angeles may be asked to meet in person up to once per week.

Key Responsibilities
Design and manage systems for the intake, tracking, and routing of mail across 40+ LLCs and corporations

Review and flag incoming legal and tax notices

Maintain well-organized digital records and filing systems

Coordinate communications with the controller, accountants, legal counsel, and executive team

Draft or update legal templates, summaries, and compliance tracking docs

Assist with regulatory filings, deadlines, and compliance calendars

Ensure accurate communication and documentation flow across all involved parties

Attend occasional in-person meetings in Los Angeles (if local)

Qualifications

– Paralegal certificate or equivalent experience in legal admin or law office work – Familiarity with real estate law, tax notices, entity structures, or corporate governance a plus – Experience managing legal or financial correspondence for multiple entities is strongly preferred – Outstanding organizational skills and a love for systems-building – Clear, professional written and verbal communication skills – High level of discretion with sensitive documents – Strong initiative, follow-through, and ability to work independently – Tech-savvy and comfortable with tools like Google Workspace, Adobe, Dropbox, and cloud-based systemsNice to Have (but not required) – Background in property management, finance, or accounting – Experience working with CEOs or founders in small businesses or startups – Los Angeles-based (for occasional in-person touchpoints)
