Overview

OVERVIEW OF ROLE
This role will start with a smaller time commitment and grow into expanded responsibilities over time. We are looking for a highly organized and proactive professional to support the operational side of our business. Key responsibilities include updating and creating SOPs, assisting with discovery calls for both new clients and VAs, and providing project management support. This person will also help prepare for quarterly meetings and serve as a key communicator with our VAs and clients to ensure smooth operations. The ideal candidate is detail-oriented, a strong communicator, and comfortable handling multiple moving parts within a growing virtual assistant agency.

RESPONSIBILITIES

– Project Management
– Update and create SOPs
– Lead discovery calls
– Prepare for monthly and quarterly meetings with the team
– Communicate with clients and VAs
– Weekly meeting with Nicole
– Onboarding Clients and VAs
– Creating Automation
– Each day and week will look a little different, so you will not be bored in this role!

Qualifications

– Project Management: Ability to plan, organize, and oversee multiple projects simultaneously. Experience with tools like Trello, Slack, or Asana is a plus.– Process Improvement: Strong skills in creating, updating, and optimizing SOPs to enhance efficiency.– Communication & Relationship Management: Excellent written and verbal communication skills to liaise between VAs, clients, and the leadership team.– Time Management & Prioritization: Ability to manage multiple deadlines and delegate tasks effectively.– Tech-Savvy: Comfortable using various tools for scheduling, documentation, and communication (Google Workspace, Zoom, CRM software, Slack, Trello, etc.).– Problem-Solving: Ability to anticipate challenges and implement solutions proactively.– Leadership & Team Coordination: Experience working with or leading remote teams, ensuring accountability and collaboration.– Attention to Detail: Ensuring accuracy in documentation, scheduling, and operational processes.
