Virtual Operations Coordinator (Part-Time, Remote)

20–25 Hours/Week | Monday–Thursday | $28–$35/hour DOE | Remote | U.S.-Based Preferred

We’re a small, purpose-driven team that helps wellness practitioners grow thriving businesses so they can do more of the work they love. We’re looking for a proactive, detail-loving, tech-savvy Virtual Operations Coordinator to help keep our team running like a well-oiled (and fun!) machine.

About the Role

Our current team member is stepping away after 6 wonderful years to start a family, and we’re looking for someone equally amazing to step in. This is a remote, part-time role supporting our CEO and team of three. You’ll wear many hats—but mostly, you’ll keep our projects on time, our systems humming, and our team aligned and supported.

Responsibilities Include:
• Supporting the CEO with project management, calendar coordination, and communication
• Keeping team tasks organized and on track using Asana and Airtable
• Maintaining and improving internal SOPs and workflows
• Coordinating team meetings, timelines, and deliverables
• Handling vendor coordination, invoices, and light financial tasks (QuickBooks Desktop)
• Assisting with hiring, onboarding, and internal communications
• Keeping the business running smoothly with a calm, confident presence

• Are naturally organized, detail-oriented, and able to anticipate needs before they arise
• Enjoy project management, operations, and keeping a team running smoothly
• Are confident using (or learning!) tools like Asana, Airtable, QuickBooks Desktop, and LastPass
• Communicate clearly, kindly, and with a sense of ownership
• Want to work part-time in a long-term, meaningful role that aligns with your life
• Thrive in a flexible, remote work environment with a mission-driven team
• Have at least 3–4 hours of daily overlap with Pacific Time (or can flex your schedule)
