Overview

Intake Manager Duties

  • Communication and Client Relations
    • Monitor incoming communications daily (mail, email)
    • Conduct phone negotiations with clients (offer amount to purchase their property has already been mailed to them; clients are typically contacting us with counter-offer)
    • Provide follow-up information and maintain regular client contact
    • Coordinate with notaries and clients for document signing
  • Data Management
    • Update and maintain property records in various systems
    • Track property status and progress through acquisition process
    • Ensure accuracy of legal descriptions and property information
  • Process Coordination
    • Initiate due diligence and title report processes
    • Coordinate with specialists and team members on various tasks
    • Manage document signing process, including notary arrangements
    • Oversee payment processes for services rendered
  • Document Handling
    • Prepare and send necessary documents to relevant parties
    • Upload and file signed documents appropriately
    • Initiate marketing material preparation
  • Quality Control
    • Verify accuracy of legal descriptions and property information
    • Ensure all steps of the acquisition process are completed correctly
    • Follow up proactively on all pending matters
