Onboarding Specialist
Overview
Position Overview: We are seeking a highly organized and client-focused Onboarding Specialist to join our team. In this role, you will be responsible for guiding new clients through the onboarding process to ensure a smooth and seamless experience. Your primary goal will be to facilitate clients’ transition into our programs, ensuring they feel supported, informed, and empowered. This role requires excellent communication, attention to detail, and a passion for helping clients achieve success in their health journey.
Key Responsibilities:
Pre-Onboarding Preparation:
- Set up necessary tools for onboarding calls, including incognito browser windows for client management systems.
- Review the client’s onboarding form prior to the call, ensuring all details are ready for discussion.
- Log into the Circle community platform (using test accounts when necessary) to ensure access and familiarity with the system.
Onboarding Call Duties:
- Review the client’s completed onboarding form, asking any follow-up questions for clarification.
- Assist in placing product orders, confirming the client will receive their 5-month protocol products within 4-7 business days.
- Discuss the client’s #1 goal and current diet, noting any special considerations, such as vegan requirements, for product adjustments.
- Provide a comprehensive tour of the Circle community platform, ensuring clients are aware of all sections, tabs, and functionality.
- Help clients download and understand the product protocol tracker in the training modules.
- Review Office Hours scheduling, Zoom call participation, and support replays, emphasizing the importance of utilizing these resources.
- Guide clients on how to communicate with their health coach through Circle’s direct messaging feature (or alternative communication channels if needed).
- Answer any client questions and address any concerns they may have during the onboarding process.
Post-Onboarding Tasks:
- Document call notes in the client management system (GHL) immediately after the call to capture important details while they are fresh.
- Place the client’s 5-month product order through Apex Energetics and send a personalized confirmation message to the client.
- Ensure that any follow-up actions are completed and the client feels fully supported throughout the process.
Skills & Qualifications:
- Strong interpersonal and communication skills.
- Attention to detail and ability to manage multiple tasks.
- Familiarity with online platforms such as Circle, Zoom, and Google Chrome’s incognito mode is a plus.
- Ability to problem-solve and provide clear, concise instructions to clients.
- Organizational skills and ability to document notes accurately and efficiently.
- Customer-centric attitude with a passion for client success and satisfaction.
